The Company:

This wonderful creative agency that delivers momentous live experiences that focuses on creating meaningful productions that influence perception and change of behaviour are looking for a Ticketing and Office Coordinator to join their rapidly growing team. This agency works with a lot of NFP clients but also works with major clients in other sectors across Australia.

The Role:

The Ticketing and Office Coordinator will report to the Company Directors and to a Producer or Project Manager. The Ticketing and Office Coordinator will be
responsible for a broad range of event administration duties to assist the Producers and Project Managers with their events. This role will be the primary contact for all ticketing enquiries across all events, as well as liaising with clients to ensure exceptional project delivery.

Key Responsibilities include;
  • Assist in visualising / preparing event concepts in keynote to present to client
  • Manage and/or prepare internal and external written briefings / WIPs / contact reports for
    clients and team
  • Assist teams in the task of developing and implementing projects;
    • Managing ticketing and registration for a broad range of events
    • Managing websites for a broad range of events
    • Liaison and coordination of third party suppliers
    • Collation of speaker content (including briefs, contracts and assets)
    • Travel booking
    • Debrief and wrap up reports
    • Liaison and coordination with production and build teams
  • Ensure all legal/contractual obligations are met with both clients and suppliers on all projects (POs, supplier agreements, speaker contracts, sponsor contracts, etc)
  • Assist with supply of schedule, budget, and scope considerations for all production elements
  • Assisting team at onsite at events as required
  • Debrief and wrap up reports
  • Administration duties including booking office meeting rooms, client meeting locations, team travel, etc
The Candidate:

The ideal candidate will have experience working or volunteering in a corporate environment. The candidate will bring creativity and new ideas for the company, and will have a passion for charity events. A keen eye for detail, excellent communication skills, and great time management skills are highly desirable.
  • Clear and professional oral and written communication skills
  • Project management experience (client and supplier management, budgeting and producing)
  • Work autonomously as well as under direction
  • Multi-task and work under time pressure
  • Excellent time management and prioritisation skills
  • Solid computer skills: Working knowledge of all MS office
  • A collaborative team player
