The Company:

Our client is an exciting creative events agency based in Melbourne who thrives on creating sensational events with a difference. With a client base in the education, automotive, sport, financial and corporate spaces, this client is known for creating activations and events that wow audiences.

The Role:

The Event Producer role will report to the Director and the Head of Production, and will have multiple direct reports. The Event Producer will operate as the lead producer on all major conferences, and be responsible for any and all matters relating to the key client accounts that they'll be leading.

Key Responsibilities include;
  • Manage the end-to-end process of large multi-day conferences including scoping of proposals, budgets, forecasting, supplier management, risk assessments, run sheets, bump in and out schedules, supplier payments etc.
  • Build and maintain strong, trusting and long-lasting supplier and client relationships
  • Negotiate supplier contracts and close agreements to maximise profits
  • Ensure timely and successful delivery of event solutions according to client needs and objectives
  • Coordinate all operations and logistics with vendors, personnel and suppliers
  • Ensure timely and successful delivery of projects according to client needs, timings, budget and event objectives
  • Work with the internal accounts and creative teams to on creation of relevant new business proposals/tenders and budgets
  • Establish, maintain and enforce rebate agreements with existing and new preferred suppliers
  • Identify growth opportunities within key clients by upselling and cross-selling services
  • Provide post event reporting and analysis as needed
  • Mentor and assist in providing training opportunities for junior staff in line with their development plan
  • Use EventsAIR to manage the delegate registration process and develop the conference app
  • Contribute to speaker selection, invitations and logistics for speakers to attend
  • Develop the sponsorship and trade exhibition prospectus and budget
The Candidate:

The ideal candidate will have experience as a Conference Manager or a Producer in an Events Agency or PCO that thrives in a fast-paced environment. Experience leading the end-to-end management of large multi-day conferences is required.
  • Experienced in the production of conference programs
  • Experienced in event logistics and content creation
  • Experience using EventsAir (or similar system)
  • Ability and initiative to succeed working both autonomously and within a team setting
  • Excellent client service skills
  • Exceptional organisational and time management skills
  • Excellent interpersonal communication skills
  • Proven leadership experience
  • Passionate about taking ownership of your own events
  • Ability to travel for events
  • Experience in setting and following tight timelines and budgets
