The Company:

This award-winning creative event and production management company is seeking an enthusiastic event coordinator to join their rapidly growing vibrant team. This Event Agency delivers exceptional events for a diverse range of For Purpose clients, including not-for-profits, government, universities, and arts.

The Role:

The Event Coordinator role will report into the Event Directors. The Event Coordinator will be responsible for managing multiple events at any one time, providing creative ideas, detailed end-to-end planning and outstanding customer service. 

Key Responsibilities include;
  • Lead the project management of small to mid-size events
  • Support the project management of large-scale events
  • Liaise and manage clients to ensure a full understanding of their requirements and customer satisfaction
  • Work within budgets to execute deliverables
  • Creatively design and provide input in event/activation concepts.
  • Provide leadership and management of event support person (event officer)
  • Ensure event delivery meet the strategic objectives
  • Develop strong relationships with stakeholders and deliver strategic advice about event planning, implementation and evaluation
  • Source and negotiate suppliers and resources for events including venue, technical, print, catering
  • Propose strategic ideas and concepts that improve provided services and event quality
  • Complete and conduct risk management plans for events/productions to ensure events are delivered safely
  • Provide detailed event planning including scheduling, event layout, bump in and bump out logistics
  • Provide strong onsite coordination at events
  • Proactively handle any issues and troubleshoot in lead up and on the event day
  • Conduct pre and post-event debrief, evaluations and report on outcomes
  • Provide regularly project updates to Directors
  • Provide marketing and communication strategies. Copywriting for event communications including invitations, collateral, sponsorship and event reports (invitation, rsvp management, website, event communication).
The Candidate:

The ideal candidate will have experience working as an Events Officer or Events Coordinator within an Events Agency or PCO. Experience in managing in-person, virtual and hybrid events is highly desirable.
  • Excellent time management and leadership skills
  • Ability to exercise sound judgement with a professional approach to the role
  • Excellent communication skills, including speaker/ writing and presentation skills, and proofreading. Excellent writing skills (B2B and B2C)
  • Ability to build productive business relationships
  • Ability to manage multiple projects independently
  • Ability to work under pressure and meet tight deadlines
  • Ability to collaborate and work as team, as well as providing strong leadership in events planning, delegate tasks and oversee individual responsibilities
  • Experience in virtual events – webinars and/or conferences is desirable
  • Marketing experience desirable
  • Ability to travel domestically and internationally when required.
